The Resource Planning tool includes a Virtual Demand feature that enables administrators to assign groups of ‘virtual’ people to a roster pattern or a single site visit event, with specified start and end dates.
The term "virtual" refers to the ability to add a set number of people to a site visit without actually adding them to your PeopleTray account or entering any personal details about the individuals.
For example, you can create a Virtual Demand entry for 50 people visiting a site over a designated period.
Note: The Resource Planning tool must first be activated by a System Administrator before it becomes accessible.
Once activated, the Virtual Demand feature can be found under Resource Planning in the left-hand menu pane.
Adding a Virtual Demand Item
When creating a Virtual Demand item, you’ll have two options for assigning flight and room requirements:

Roster Plan Option: Select a roster plan, including a seed date for the roster. The shift types within the roster will determine flight, room, and travel schedules for each day, including travel in/out and leave status.

Single Swing Option: Choose this if you prefer to assign specific shift types for the fly-in day, on-site days, and fly-out day.

You can use the grid to quickly activate or deactivate your Virtual Demand items as needed.

Viewing and Exporting Virtual Demand
After adding your Virtual Demand items, go to the Resource Planning tab. Check the box labelled Show Virtual Demand to include active virtual demand items in the grid view.
To export your plan:
- Click Export Resource Plan to download the plan in Excel format for the selected date range.
- Click Export Virtual Demand to export just the Virtual Demand items.
This feature streamlines resource planning without the need to manually track individual personnel details, while still accounting for the necessary site visit numbers and logistics.
