The Roster tab on a person’s profile is where you manage team members' rosters and associated travel arrangements. It can also include additional options for managing cost codes and worksites, if applicable.
Roster
The roster grid presents information in the following rows:
- Base: The primary roster assigned to the individual.
- Change: Displays any changes to the person's shift, such as a shift swap or a change in the leave schedule (e.g., taking a day off at the end of their R&R or flying to the site a day later).
- Required: Lists any outstanding travel or accommodation requirements that have yet to be booked.
- Bookings: Shows confirmed travel and accommodation bookings.
The buttons at the top of the grid offer the following functions:
- Display: Choose the date range you want to view in the roster grid.
- Build: Start the booking process for the individual’s travel and accommodation.
- Itinerary: Download the person’s travel itinerary.
Roster Configuration
The Roster Config section allows you to assign a person’s base roster, specify the start date of their roster, and, if necessary, set an end date. Multiple rosters can be assigned to an individual, one after the other. The Roster Seed Date represents the date when this base roster started for all team members assigned to it.
Home Port & Site Port
- Home Port: The location the person will travel from (typically their place of residence).
- Site Port: The location the person will travel to (their worksite).
You can also assign team members to a specific Accommodation Camp, Block, and even a specific Room. This ensures they are only booked into accommodations that meet these criteria.
Team members may be assigned to a Room Group. This allows three individuals on different rosters to alternate between two rooms, ensuring efficient room usage.
Cost Codes
If enabled via Account Options, the Cost Code feature allows you to assign team members to a specific cost code for tracking and reporting purposes.
Travel Preferences
In the Travel Options section, you can specify additional travel preferences for each team member, including:
- Inbound/Outbound Preferences: Used to match the individual with their preferred flight when multiple flights are scheduled for the same day.
- Weight: The person’s approximate body weight, used to ensure flights are within weight limits.
- Extra Baggage: The weight of any extra baggage the person will be taking on their flight.
- Frequent Flyer Information: Details for up to two airlines.
- Meal Preferences: The person’s meal choices during travel.
- Wheelchair Access: Whether the person requires wheelchair assistance.
- Seat Preference: The person’s seat selection preference for flights.
